Xerox Job Tracking

Office print tracking reduces costs and optimizes output

Overview
Xerox Job Tracking, which is enabled by Xerox Device Manager, is an office print tracking tool that allows the capture and recording of information about end users’ printing behaviors. By leveraging this information, effective decisions can be made about how to reduce print costs and optimize output.

Key Benefits
  • Office print tracking at the user level for both walk-up and network printing functions enabling policy compliance and asset optimization.
  • Monitor print policy compliance by analyzing print tracking data to identify use outside of normal corporate printing policy.
  • Optimize assets by ensuring print jobs are sent to the most appropriate devices by viewing detailed charge-back reports based on user activity. Track expensive local desktop printing activity and identify underutilized printers to uncover cost savings and continuous improvement opportunities.

User-level Office Print Tracking
When used in conjunction with Xerox Device Manager, Xerox Job Tracking provides you with a job-level view of your entire print environment utilizing Device-Based Accounting and Xerox Job Tracking Agent.

Manage job accounting properties for all enabled devices throughout your enterprise from one central location.

Device Based Accounting
Network accounting packages are used on an enabled device to track walk-up as well as desktop-to-device jobs, which include print, scan, copy and fax. On some enabled devices, end-users performing a walk-up function can be required to enter a user name and billing code to support chargeback tracking.

From the Administration page in Xerox Device Manager, you can configure the billing units, add and edit users, and determine how often data is retrieved.

Xerox Job Tracking Agent
The Xerox Job Tracking Agent, installed on Microsoft Windows® workstations and print servers, collects print job attributes for network and non-networked devices and reports back to Xerox Device Manager.

Information Collected Through Job Tracking
Xerox Job Tracking Agent and Device Based Accounting capture key print job attributes such as:
  • print volume information like number of copies, pages, and impressions;
  • the username and client machine that printed the job;
  • job submission and completion times;
  • if the job was duplex or non-duplex;
  • file type, name, and size.

Optimize Assets with Xerox Device Manager
Information collected through the Xerox Job Tracking solution is managed using Xerox Device Manager. This enables you to make fact-based decisions for your enterprise device management. Device and job based accounting preferences such as billing unit, users, and which functions should be tracked can all be configured through Xerox Device Manager. In addition, the Job Tracking Agent can be mass deployed across the enterprise using standard software deployment methods or a manual option is available for the local system administrator or end user to install.

Once print, copy, scan and/or fax data is gathered, Xerox Device Manager provides a view into your document output environment through these various reporting tools:
  • Enterprise Summary Report – summarizes usage across the enterprise;
  • Job Tracking Report – a report of the print tracking data, by printer;
  • Volume Breakdown Report – summarizes print volume;
  • User Summary Report – a report on the print tracking data, by user.
More robust reporting can be obtained through the use of Xerox Report Manager.

Discover usage detail down to the job level for each device with the Job Tracking Report, generated through Xerox Device Manager.
